  1. Get in touch. Tell us the cause, your rough timeframe, and how many fundraisers you expect. There's no obligation at this stage — we're happy to talk through options before you've confirmed a single place.
  2. Choose your trek and route. We'll help you weigh up Everest Base Camp against Kilimanjaro, and — if it's Kilimanjaro — which route fits your group best.
  3. We set a private departure date. Once you've got six or more fundraisers ready to commit, we lock in a date exclusively for your group.
  4. We handle registrations and payments. Each fundraiser can book and pay individually, or your organisation can manage it centrally — whichever works better for your fundraising structure.
  5. Ongoing support before departure. Our team is on hand for kit questions, training advice and anything your fundraisers need to arrive prepared.
  6. You trek. We guide. Experienced local guides lead your private group the entire way, with the same standard of support as our scheduled departures.

The classic. Fly into Kathmandu, take the dramatic flight to Lukla, and trek through Sherpa villages and rhododendron forests to stand at the foot of the world's highest mountain, with a pre-dawn climb to Kalapatthar for sunrise over Everest.   • What's the minimum number of people needed for a private charity group departure?

    Six. Once you have six fundraisers signed up for the same trek and rough timeframe, we can set up a dedicated departure exclusively for your group, rather than joining one of our scheduled public dates.

  • What if we don't reach six fundraisers?

    That's absolutely fine — smaller groups and individual fundraisers can still join one of our existing scheduled departures on Everest Base Camp or any of our four Kilimanjaro routes, and trek alongside other travellers. We're happy to talk through both options and help you decide which suits your fundraising campaign.

  • Can we choose our own departure date?

    Yes, within reason. Once your group has committed, we'll work with you to find a date that fits your fundraising timeline, training schedule and the trek's seasonal weather windows (for example, spring and autumn are generally the best times for both Everest Base Camp and Kilimanjaro).

  • Do you organise flights as well as the trek?

    Yes. We can book international flights alongside your trek, fully protected under our ATOL membership (No. 11740), so your group's money is financially protected in line with UK travel regulations. You're also welcome to book your own flights if your organisation prefers.

  • Is travel insurance included?

    No — every trekker needs their own travel insurance that specifically covers trekking at altitude, up to the maximum height reached on their chosen trek. This is a standard requirement across the industry, and we're happy to point fundraisers towards what to look for in a policy.

  • Can fundraisers of different fitness levels take part in the same trek?

    Both Everest Base Camp and all four Kilimanjaro routes carry a physical rating of 5 out of 5, meaning they're genuinely challenging but achievable for anyone with a reasonable level of fitness who prepares properly. 

    If your group has a real mix of experience or ability, our Kilimanjaro Marangu route (the gentlest gradient) or Rongai route (less steep, quieter trails) tend to suit mixed-ability charity groups particularly well — we're happy to advise based on your specific fundraisers.

  • Do you provide anything to help us with fundraising and marketing the trip?

    We can supply route information, itineraries, imagery and background on each trek to help you build your own fundraising pages and materials, and every trekker receives a certificate on completion to share with sponsors. Get in touch and we'll send over what's available for your chosen trek.

  • Can a company or charity book and pay centrally for the whole group?

    Yes, that's very common for corporate challenges and charity partnerships. We can also set things up so individual fundraisers register and pay for their own place, if that fits your model better. Let us know what works for your organisation and we'll set it up accordingly.

  • Can we add a safari, Zanzibar stay, or other extension to a Kilimanjaro charity trek?

    Yes — several of our Kilimanjaro routes can be extended with a safari or beach stay in Zanzibar afterwards, which some groups use as an incentive for higher-value fundraisers. Ask our team when you enquire and we'll talk you through the options.
